Here are a few reminders about what to expect on the day of your event:

GARDEN HOSTS

Our Private Rentals Team provides 1-2 Garden Hosts for your event rental day.

Garden Hosts:

  1. Will have The Garden set up as you expressed wanting in your pre-event Walkthrough.

  2. Will be present during your entire event.

  3. Are dedicated to best preparing the venue for the rental by cleaning the venue and arranging Garden property to best serve you for your event.

  4. Will unlock the venue for you to get set up at the beginning of your contracted setup time.

  5. Will lock the venue after your event when you finish cleaning up your own brought-in items (decorations, food/drinks, etc.) at the end of your contracted teardown time.

  6. Are NOT present in order to accomplish any event-specific tasks for renters (i.e., decorating, serving food, manning registration tables, etc.).

  7. Are NOT present in order to provide childcare, security, etc.

  8. Will be visible during entire event to monitor and manage overall venue/property/safety during the event. This includes, but is not limited to monitoring and emptying trash bins, stocking and cleaning restrooms, monitoring event activities for User contract compliance and general venue/property monitoring during the event. If an accident or mess occurs during the event, it is the User's responsibility to notify the Hosts immediately so they can assess the situation and choose the best path forward. After the event ends the Hosts will oversee User's teardown. Once teardown is complete the Hosts will complete a walkthrough of the space with the User.

FURNITURE

Our Private Rentals Team will have The Garden’s furniture set up as you expressed wanting in your pre-event Walkthrough. If any of your setup desires have changed, please download and print off a copy of the venue layout so you can make notes for us about the changes for your event. Then, email a copy of your revision requests.

Remember, if you have hired any outside vendors, they must setup and teardown within the afore-agreed to setup and teardown times listed in your contract for your event. No early or late timing is allowed without explicit written permission from The Garden Private Rentals Team and/or by purchasing additional time via your event contract.

TECH/AV

With complimentary WiFi, dimmable lighting, and an incredible house sound system throughout the building inside and out, each area of the building can be sonically and visually controlled and utilized exactly as you see fit. If you want to show a slideshow on the TV in the Sunken Room, we strongly recommend you bring a copy of your slideshow as an MP4 file on a thumb drive. As a backup plan, you can also alternatively dedicate one of your own Apple devices to play the slideshow via Apple AirPlay.

And remember, we also have some rentable items including a projector, screen, wireless mics, and portable PA. If you wish to rent any tech/AV items from us, you MUST arrange this via contract and pay for it at least 2 weeks prior to your event date.

FooD

Our Private Rentals Team will have The Garden’s kitchenette area set up as you expressed wanting in your pre-event Walkthrough. ALCOHOL

As you know, if you wish to have any alcohol whatsoever at our venue for your private event, you must contact Licensed Bar Services for a quote. They handle all licensing, insurance, permits, security, etc.

DECORATIONS

As you know, you can hire a decorator of your choice or go DIY.

Remember, The Garden does NOT allow ANY decorations can be hung on or taped to our walls. This means absolutely no tape, command strips, screws, nails, museum puddy or the like. The Art Gallery ceiling has two cross-beams that are magnetic — we have magnetic hooks which can be used to hang lightweight streamers, decor or banners.

Acceptable decorations include table linens, chair covers, centerpieces, freestanding backdrops & balloon arches, balloons, etc.

Prohibited decorations include, but are not limited to glitter, smoke/fog, incense and open flames.

Outside vendors must setup and teardown within the afore-agreed to setup and teardown times listed in your contract for your event. No early or late timing is allowed without explicit written permission from The Garden Private Rentals Team and/or by purchasing additional time via your event contract.
