Here are some important reminders:
EVENT DAY DETAILS
Prior to your event, we will email you a link so that you can submit (via a Google Form) the details about your:
furniture setup (pick out your favorite floor plan from options A, B, C, D, E, F or G below or download a blank copy of the venue so you can dream up the physical logistics of the furniture setup for your event)
food/catering vendor(s)
alcohol vendor(s)
decorations vendor(s)
tech and A/V needs
Outside vendors must setup and teardown within the afore-agreed to setup and teardown times listed in your contract for your event. No early or late timing is allowed without explicit written permission from The Garden Private Rentals Team and/or by purchasing additional time via your event contract.
DECORATIONS
As you know, you can go DIY or hire a decorator of your choice.
Remember, The Garden does NOT allow ANY decorations can be hung on or taped to our walls. This means absolutely no tape, command strips, screws, nails, museum puddy or the like. The Art Gallery ceiling has two cross-beams that are magnetic — we have magnetic hooks which can be used to hang lightweight streamers, decor or banners.
Acceptable decorations include table linens, chair covers, centerpieces, freestanding backdrops & balloon arches, balloons, etc.
Prohibited decorations include, but are not limited to glitter, smoke/fog, incense and open flames.
FURNITURE
The Garden has existing tables and seating which may be used for your private event (or you can hire a rental company such as A Party Apart). As a reminder, our versatile furniture is as flexible as the needs of your event. We have free for you to utilize:
4 custom-made rolling food & drink service tables (2 counter-height and 2 bar height)
8-4ft circular tables
4-8ft rectangular tables (96 x 30")
60 regular height chairs (30 black and 30 cream)
FooD
As you know, a licensed caterer of your choice can be hired for food service. Linens, silverware, centerpieces and additional tables/seating can be hired by providers of your choice.
ALCOHOL
As you know, if you wish to have any alcohol whatsoever at our venue for your private event, you must contact Licensed Bar Services for a quote. They handle all licensing, insurance, permits, security, etc.
garden hosts
Garden Hosts are present during the entirety of all rentals in order to maintain venue and guest health and safety, as well as to ensure that venue guidelines, state laws, etc. are adhered to. Garden Hosts’ responsibilities revolve around the venue itself. Garden Hosts:
set up all furniture per your wishes prior to your arrival for setup
monitor garbage bins during your event
do not decorate for you
do not serve food or drinks to your guests
do not provide childcare
TECH/Av
With complimentary WiFi, dimmable lighting, and an incredible house sound system throughout the building inside and out, each area of the building can be sonically and visually controlled and utilized exactly as you see fit. If you want to show a slideshow on the TV in the Sunken Room, we strongly recommend you bring a copy of your slideshow as an MP4 file on a thumb drive. As a backup plan, you can also alternatively dedicate one of your own Apple devices to play the slideshow via Apple AirPlay.
And remember, we also have some rentable items including a projector, screen, wireless mics, and portable PA.
